What a planner actually does

Setting out the year properly is the most persuasive thing a planner's website can contain, because it turns an abstract expense into a list of jobs somebody can picture themselves failing to do.

Working out what the day should feel like and what it can cost, then finding a venue that fits both. Venue searching alone saves months, because you already know which ones take 120 seated and which curfew will end the evening at eleven.

A planner's gallery has a harder job than a florist's, because your work is mostly invisible in the finished photographs. What reads is scale, style and competence: a room turned around between courses, a schedule on a clipboard, a supplier team briefed at eight in the morning.

Three ways to work together

Most people who enquire have no idea that partial planning or on-the-day coordination exists, and it is usually the option they actually want. Naming all three, with what each costs, converts the couples who would otherwise decide a planner is not for them.
- Name the cheapest option clearly
On-the-day coordination is the way most people discover planners, and it is the one they can picture affording. Hiding it behind "contact us for details" loses them entirely.
- Explain the percentage honestly
If you charge a percentage with a minimum fee, say so and say why. Couples find it fair once it is explained and suspicious when it is not mentioned until the second call.
- Say what is not included
Supplier costs, travel, accommodation for multi-day weddings. Being straight about it early is the difference between a trusted adviser and an awkward conversation in month four.

Who actually enquires
The couples who need you most are the ones who think they cannot afford you.
Wedding planning sells against a stubborn assumption: that a planner is a luxury for weddings with a marquee, three hundred guests and a helicopter. In reality the couples who benefit most are two people with full-time jobs, a barn eighteen months out and no idea how many suppliers a wedding involves. They will never enquire while the website reads as an invitation-only service.
So the site's job is not to look expensive. It is to be specific: this is what we do, this is when we do it, this is what it costs, and this is the smallest way you can work with us. Specificity reads as confidence, and it lets somebody self-select rather than having to ask a question they feel embarrassed asking.
The other audience is the venues and suppliers who recommend you, and they read the site differently. They are checking that you are organised, that you are pleasant to work alongside, and that sending a couple your way will not come back to them. A page that says how you work with suppliers does more for referrals than any amount of styling.
